Introduction.

In this final chapter, we are going to review four more utilities for working with ChatGPT.

The Tools Menu.

Leasey’s ChatGPT integration isn’t just for general questions; it’s a versatile tool to help with your daily tasks. You can select text from an email, document, or webpage and apply a range of powerful features selected from a convenient list:

The Tools menu allows you to work with text in different ways. This could be text you are about to create or text which has already been created and is selected. When we are discussing selecting text, this could be within a document, Email message, social media post, web page, etc. We suggest you aim for a target of 4000 characters or less if possible.

You move into the Tools menu by pressing the Chat Key then T. When you enter the Tools menu, you are presented with a List Box containing a series of items. Each item in the list describes its purpose. Pressing Enter on the item will carry out the function.

If no text is selected, an Edit Field will be available into which you can type text.

If text has been selected prior to invoking the Tools menu, the selected text will be in the Edit Field for review or editing.

We will first list all the options in the menu and then go onto describing how you may use a small number of them.

The Tools menu contains the following items:

Use the Dictionary, providing clear definitions of words with examples of how they are used.

Use the Thesaurus, providing a list of choices of appropriate words.

Check for grammar, punctuation, and style issues. Correct any errors and improve readability where necessary, using UK English conventions.

Review the text and provide constructive feedback. Highlight any unclear sections, suggest improvements, and note strengths using positive and actionable language.

You will have noticed from the above options that it is necessary for Leasey to know whether you require UK or US spellings. Let's just check to ensure that this is the case:

Step 1. Press Windows+D to move to the Windows Desktop.

Press the Leasey Key then H for Leasey Hotkey Help.

Type the number 1, just above the letter keys. JAWS says "1. Set Default Country for Searches and for ChatGPT".

Press Enter and then Down Arrow in order to select your country.

Press Enter to save.

Use Case 1: Spell check the text using UK/US English, correcting capitalisation where necessary.

Step 1. Select some text in a document for spell checking.

Step 2. Press the Chat Key then T for the Tools menu.

Step 3. Select the option Spell check the text using UK/US English, correcting capitalisation where necessary.

Step 4. Press Enter. After a short pause, the correct text is returned.

Step 5. Review the text to check it is correct.

Step 6. Press Enter on the link to copy the response to the Windows clipboard.

Use Case 2: Use the Dictionary, providing clear definitions of words with examples of how they are used

Step 1. Press the Chat Key then T for the Tools menu.

Step 2. Select the option Use the Dictionary, providing clear definitions of words with examples of how they are used.

Step 3. Press Enter.

The definition is returned. For example, if we had entered the word "Castigate" into the dictionary, we should receive a response similar to this one:

Use Case 3: Use the Thesaurus, providing a list of choices of appropriate words.

Step 1. Press the Chat Key then T for the Tools menu.

Step 2. Select the option Use the Thesaurus, providing a list of choices of appropriate words.

Step 3. Press Enter.

In this example we will choose Synonyms, Words with similar meanings. Press Enter on this item. Into the Edit Field, type a word you wish to look up in the thesaurus. If you had previously selected a word, it will be displayed.

Press Enter.

If we had typed the word "Happy" into the Edit Field, these words would be returned in a list box as they have similar meanings. Use the Down Arrow key to select the word you wish to use and press Enter. It will be inserted into the document.

Use Case 4: Summarising Text From a Web Page.

Step 1. Select some text from a web page, such as a news story.

Step 2. Press the Chat Key then T for the Tools menu.

Step 3. Select the option Summarise the main points concisely in plain UK/US English. Ensure the summary maintains the key meaning and structure of the original content, but keep it brief.

Step 4. Press Enter.

Step 1. Press Enter and the item should be summarised.

Leasey Q&A: Ask Questions About Your Own Documents.

Leasey allows you to submit one of your own documents to ChatGPT and ask questions about its contents. This makes it possible to work with long or complex material conversationally, without needing to search, scroll or read every page manually.

You might use this feature with a product manual, a policy document, meeting notes, a report, a spreadsheet, a presentation, a PDF file, a Markdown document, or a plain text file. For example, you could ask:

In Leasey 11.5, this feature opens as a Leasey application window. This should make the process predictable because you can move through the controls with Tab and Shift+Tab in the usual way.

When the application opens, the first control is the Document file path Edit Field. This is where the full path to the document can be entered. If you already know the path, you can type it. More usually, you may locate the file in File Explorer or Leasey File Manager, copy the full path to the Clipboard, and paste it into this field.

If you are using File Explorer, one method is to focus on the document and press Control+Shift+C to copy its full path. You can then return to the Leasey Q&A window and press Control+V to paste the path into the Document file path Edit Field.

There is also a Browse Button. This allows you to browse to the document using standard Windows techniques.

To ask questions about a document, work through the following procedure:

Step 1. Press the Chat Key followed by M to move into the Chat Menu.

Step 2. Select the item for asking ChatGPT about a document, Excel worksheet or PowerPoint presentation. In future, if you wish to reach this item directly, you can press the Chat Key followed by the letter A.

Step 3. Press Enter. The Leasey Q&A application opens.

Step 4. If you already have the full path to the document, paste it into the Document file path Edit Field with Control+V.

Step 5. If you would rather browse for the file, press Tab until you reach the Browse Button, then press Enter or Space.

Step 6. Browse to the document you want to use and confirm your choice.

Step 7. After the document has been selected, you can press Control+Shift+Tab. JAWS should announce the word Document followed by the document name. This can be a useful confirmation that Leasey is working with the file you intended.

Step 8. Wait while the document is uploaded and analysed. You will be advised when this is complete.

Step 9. When the question Edit Field is available, type your question and press Enter.

When the response is ready, JAWS should announce:

Answer Ready.

The answer is placed in an Edit Field where you can read it. You can then ask another question about the same document. This means you can build up a question-and-answer session, refining your questions as you learn more from the document.

Other controls are available after an answer has been returned.

The Clear Button removes the current question or answer content so you can start again.

The Copy Answer Button copies the answer to the Windows Clipboard.

The Save Exchange Button saves the question-and-answer session to a location of your choosing. This is useful if the information is important and you want to keep a record of what you asked and what ChatGPT returned.

As with all AI tools, you should read the answer carefully before relying on it. ChatGPT can be extremely useful for finding and explaining information, but important answers should still be checked against the original document where possible.

Working with Prompts and ChatGPT.

If you’ve spent time working with AI, you’ll already know that the quality of a prompt can make the difference between an average answer and an excellent one. A well-written prompt gives ChatGPT clear instructions about what you want, how you want it delivered, and what constraints to follow.

Leasey introduces the ability to save prompts that you regularly use. This is ideal for recurring tasks, research routines, data lookups, or structured requests where consistency matters.

For example, you might save a prompt that retrieves specific sports fixtures in a strict format, summarises daily news headlines, explains technical concepts in plain language, or generates reusable templates such as emails or reports.

With a library of reusable prompts, Leasey becomes not just a way to access AI, but a way to build a personalised productivity system around it.

Creating a Prompt.

Step 1. Press the Chat Key, then Control+Shift+P. You are asked to enter a name for the prompt. This name is used to retrieve it later, so choose something short but descriptive (for example, “Daily News Summary” or “Explain Technical Terms Simply”). Type the name and press Enter.

Step 2. When prompted, type the prompt itself. Below are some examples of well-constructed, real-world prompts:

Step 1. When complete, press Enter. The prompt is now saved and available for reuse.

Now it is time to use ChatGPT with your saved prompts. Rather than using the Chat Key followed by N to begin a new conversation, you can start by inserting a prompt.

If you are using Context Aware mode, you will often want to clear the conversation first by pressing the Chat Key then C, although this is not essential. You may also use a prompt in the middle of an existing conversation if that suits your workflow.

Step 1. Press the Chat Key, then P for Prompt.

Step 2. From the list box, choose one of your previously saved prompts and press Enter.

Summarise today’s main technology news in 5 short bullet points.

You might extend it by typing:

Focus specifically on AI and accessibility.

Step 1. Press Enter. ChatGPT will now respond using both the saved prompt and any additional text you have appended.

To delete a prompt that is no longer needed:

Step 1. Press the Chat Key, then P for Prompt.

Step 2. From the list box, choose the prompt you wish to delete.

Step 3. Press the Leasey Key, then Delete.

Regularly reviewing and refining your saved prompts helps ensure they remain useful as your needs evolve.

Image Generation for Independence.

Leasey's ChatGPT tools can create an image from a text description. This can be useful if you need an illustration for a document, a web page, a social media post, training material, or a personal project.

This feature is no longer displayed in a web browser. In Leasey 11.5, it opens as a Leasey application window. You can move through the controls with Tab and Shift+Tab. The window contains two Edit Fields.

The first Edit Field asks for the file name you would like to use for the image. Choose a short but meaningful name, because this will help you identify the image later.

The second Edit Field asks for a detailed description of the image you want ChatGPT to create. The more clearly you describe the scene, subject, objects, style and purpose, the more likely it is that the result will be useful.

The window also contains a Combo Box for selecting the image size. The available sizes are:

Square is useful for a general illustration or profile-style image.

Portrait is useful when the image needs to be taller than it is wide, perhaps for a poster or a mobile-friendly layout.

Landscape is useful when the image needs to be wider than it is tall, perhaps for a web page banner, slide, or wide illustration.

To create an image, work through the following procedure:

Step 1. Press the Chat Key then M to move into the Chat Menu.

Step 2. Select the option to create an image based upon a text description.

Step 3. Press Enter.

Step 4. In the first Edit Field, type a file name for the image.

Step 5. Press Tab to move to the description Edit Field.

Step 6. Type a clear and detailed description of the image you want.

For example:

Create a realistic image of a tidy home office with a laptop, a microphone, headphones and a mug of coffee on the desk. The room should feel warm and professional, with natural daylight coming through a window.

Step 7. Press Tab to move to the image size Combo Box.

Step 8. Use the Up and Down Arrow keys to choose Square, Portrait or Landscape.

Step 9. Press Tab until you reach the Submit Button.

Step 10. Press Enter or Space to submit the request.

When the image has been generated, a Save Button is available. Activate this Button to save the image to the computer in a location of your choosing.

Because this feature produces a visual image, you may want to ask a sighted person to check the result if the exact visual appearance is important. You can also use another AI or image description tool to help describe the image after it has been created.

Audio Transcription Made Easy.

Do you have an audio file you would like to convert into text? Leasey can transcribe speech from an MP3 file and place the resulting text where you can read it, copy it, or save it.

This is useful for meetings, interviews, voice notes, lectures, podcasts, training recordings or any MP3 file where you need the spoken content in written form.

In earlier versions of this documentation, audio transcription was described as two separate options, including separate choices for speaker separation and for audio in a language other than English. In Leasey 11.5, this has changed. There is now one option called:

Transcribe audio from an MP3 file to text

This option opens a Leasey application window. It is no longer displayed in a web browser.

The same application is used for ordinary transcription and for audio spoken in a language other than English. The beta notes state that the interface for audio in another language is identical to the ordinary audio-to-text interface.

Files must be in MP3 format. We suggest that the audio length should not exceed two hours.

To transcribe an MP3 file, do the following.

Step 1. Move into the ChatGPT Tools menu by pressing the ChatGPT Key followed by letter T.

Step 2. Select the option Transcribe audio from an MP3 file to text.

Step 3. Press Enter.

The transcription window opens. You can move through the controls by pressing Tab. The first control is an audio file path Edit Field. If you already know the full path to the MP3 file, or if you have copied the full path from File Explorer, you can paste it into this field with Control+V.

One useful method is to locate the MP3 file in File Explorer, copy its full path with Control+Shift+C, return to the transcription window, and paste it into the audio file path Edit Field.

If you would rather browse for the file, continue with the next step.

Step 4. Press Tab until you reach the Browse Button.

Step 5. Press Enter or Space to activate Browse.

Step 6. Use the standard Windows file selection dialog to locate the MP3 file, then confirm your choice.

Step 7. Press Tab to reach the transcription type Radio Buttons.

Speaker separation means that Leasey will try to identify different speakers or narrators in the audio and label them separately. This can be helpful for interviews, meetings or conversations. It may not work well if the recording contains music, background noise, overlapping speech, or unclear voices.

Plain transcript produces a straightforward transcript without trying to separate speakers. This may be the better choice for a lecture, podcast, voice note, single speaker recording, or any recording where speaker labels are not important.

Step 8. Choose the Radio Button you want.

Step 9. Press Tab until you reach the Transcribe Button.

Step 10. Press Enter or Space to begin.

Leasey gives progress messages while the file is uploaded and processed. How long this takes depends on the size of the file, the speed of your internet connection and the length of the recording.

When the transcription is complete, Leasey tells you that it is ready. An Edit Field is then available containing the transcript.

Step 11. Read the transcript in the Edit Field.

Step 12. If you want to copy the transcript to the Windows Clipboard, press Tab until you reach the Copy Transcript Button and activate it with Enter or Space.

Step 13. If you want to save the transcript as a text file, press Tab until you reach the Save Transcript Button and activate it with Enter or Space.

Step 14. Browse to the folder where you want to save the text file, type a suitable file name if requested, and confirm the save.

If the recording is in a language other than English, use the same option and the same procedure. The output should be returned as text through the same transcription interface.

As with all automatic transcription, the result may not be perfect. Names, technical terms, music, poor audio quality, overlapping speech and strong background noise can all affect accuracy. It is always sensible to read through the transcript before relying on it or sending it to someone else.
